GUIDELINES FOR TALK & POSTER PRESENTATIONS


1.) GUIDELINES FOR ORAL PRESENTATIONS

GENERAL INFORMATION

  • Session rooms will be equipped with a computer, LCD projector, screen, microphone, and pointer 
    (for detailed information see below). It is recommended that presenters bring their own thumb drives so that they can easily load their presentations onto a single computer to save time between presentations.

  • Plenary presentations are 30 minutes in length (20 min. presentation and 10 min. questions) or 20 minutes (15 min. presentation and 5 min. questions) according to the conference programme.

  • Session presentations are 15 minutes in length (10 min. presentation, 5 min. questions and answers).

  • To facilitate an efficient running of the conference we would like to ask chairs and presenters to keep closely to the above timings. This will enhance a relaxed atmosphere and encourage informed debate.

  • Chairs for interactive parallel sessions will receive a separate briefing for the sessions.

  •  The conference language is English.

  • Shortly after the conference, we would like to publish your presentation (converted as a PDF file) electronically in the conference documentation on the BfN website. In case you do not wish to have your presentation published online or you prefer a slightly altered version than that presented at the conference, we kindly ask you to inform the conference support team when loading your file on the conference computer. Otherwise we assume your acceptance. Please check there is no conflict with copyright with regards to imagery.

  • We will also publish conference proceedings with summaries of the presentations (1-2 pages; see the ECBCC 2013 proceedings as a reference). You can find the template file with the submission guidelines for summaries of oral presentations here and for download further down on this webpage. Please submit the summary of your presentation by 12 June 2017to ecbcc2017@be-frank.deThe conference proceedings will later be available in pdf format on the BfN homepage and printed copies will be sent to all conference participants.

  • Presenters/authors using figures (e.g. photos, maps, graphs) within the presentation published on our conference website and/or their contribution to the conference proceedings need to clearly name the source (even if the presenter/author created the figure herself/himself). In addition, first authors/ corresponding authors need to sign the respective copy right declaration, confirming that they have received for all figures perpetual permissions for publishing on the respective web-site and/or perpetual permissions for print within the meaning of the German copyright law (this applies to both the print version and the digital version of the conference proceedings). For legal reasons we need this declaration even if the author created the figures herself/himself. The declaration needs to be send either as scan to ecbcc2017@be-frank.de or by fax to 0049 (0) 30 80 49 8 49 44 until Monday, the 12th of June 2017.


AUDIO VISUAL EQUIPMENT

 
The audio-visual equipment available in all conference rooms includes:

  • Computer, monitor and mouse;
  • Screen;
  • Data projector;
  • DVD-Player;
  • Flipchart;
  • Microphone for speaker;
  • 3 microphones will be placed in the audience for the question and answer period (just in the main lecture hall, in session rooms this is not necessary.

    If you require equipment not listed above, please contact Brita Frankenstein
    (ecbcc2017@be-frank.de) on behalf of the organizing committee of the conference.

 

TECHNICAL REQUIREMENTS FOR THE PRESENTATIONS

  • File format: Microsoft Power Point (PPT and PPTx) or Adobe Acrobat formatted for Windows (PC).
  • Operating system: Windows XP or novel;
  • Preferred Resolution: XGA (1024 x 768 pixel);
  • Fonts: exclusively Windows-compatible fonts;
  • Movies: We can only accept movies created as MPGs and WMVs;
  • Flash content (SWF) is fully supported;
  • DVDs: If you plan to play a DVD as part of your presentation, please notify staff in the Speakers Corner so arrangements can be made for assistance during your presentation.

 

REQUIREMENTS FOR MAC USERS

  • Please convert all presentation files to PowerPoint or PDF files;
  • Pictures: If you use a version of PowerPoint prior to 2008, please be sure embedded pictures are not in TIFF format. These images will not show up in Windows PowerPoint. With PowerPoint 2008 for the Mac, TIFF inserted images will be compatible;
  • Movies: Please export MOV files to Windows Media WMV with Quicktime-7 Pro. PowerPoint cannot play MOV files.

 

MEDIA CHECK

  • Please come to the lecture hall from 8:00 to 9:00 at the day your presentation is scheduled or the day prior for a media check of your presentation.
  • Please make sure that all fonts, images, animations and sounds appear as expected in your PowerPoint presentation.
  • If you have movies in your presentation please make sure to copy the entire folder with the movies in it.
  • In presentation mode, your text should be large enough to be easily readable. The slides should not include multiple rows of text in small font.

2.)   GUIDELINES FOR POSTER PRESENTATIONS 


GENERAL INFORMATION

  • Please, print your poster and bring it with you to the conference venue.

  • The maximum poster size is (H x W) 118.90 cm x 84.10 cm (DIN AO). Appropriate adhesive material will be available at the poster help desk on site.

  • All posters must be prepared in English.

  • The posters will be exhibited during the conference in the foyer of the conference venue. All posters must be mounted by Tuesday, 27 June 2017, 9:00 and left there until Thursday, 29 June 2017, 13:00.

  • All authors are requested to personally attend their posters for questions and discussion during the poster presentation on Wednesday, 28 June 2017, from 12:40 until 14.30.

  • We will also publish conference proceedings with summaries of the posters (1 page; see the ECBCC 2013 proceedings as a reference).
